YOUTH FIRST ATHLETICS PRIVACY NOTICE (Version 5, October 2026)
Youth FIRST Athletics, LLC ("we", "Coach Jon") operates this app for the families we train in Brevard County, Florida. This notice explains, in plain English, what information the app holds about your family, why, who can see it, how long we keep it, and the controls you have. Because our athletes are children, we hold ourselves to the federal COPPA rule and Florida's Digital Bill of Rights. Questions any time: Youthfirstathletics@gmail.com, 321-365-5079 (cell) or 321-726-7677 (work).
1. WHO HOLDS ACCOUNTS
Parents hold the primary accounts. Athletes under 13 never get a login. A parent creates and manages their profile, and everything about them is entered by you or by Coach. Teens 13-17 may hold their own login only after a parent account explicitly approves the link (this is enforced by the database, not just the screens).
2. WHAT WE COLLECT AND WHY
- Account basics: names, emails, athlete date of birth (drives age-appropriate features), sport, school (optional).
- Training records: workout completions, effort ratings, daily wellness check-ins (mood, soreness, sleep, nutrition, hydration, headspace, motivation), benchmark results, lifted weights, height/weight if you log them.
- Safety records: emergency contact, medical notes you choose to share, injury log, the signed waiver, photo/video release choice.
- Media: photos, GIFs and videos Coach uploads as exercise demos, and highlight clips your family uploads.
- FIRST Fuel (nutrition): if you complete the fueling intake for your athlete (age, sex, height, weight, sport, training schedule, dietary pattern, allergies, budget level, cooking situation, and whether a doctor supervises their nutrition), we use it only to generate general fueling ranges and filter meal ideas. Food logs are simple meal/snack entries. We collect nothing in the intake that the fueling plan does not need.
- Announcements: when someone in your family first opens one of Coach's announcements, the app notes that it was opened and when, nothing else. Coach sees which families have opened each one.
- Reports: what you send Coach from the Suggestion Box or the Report button in chat, and Coach's answer. We keep them so the person who sent one can follow it to its answer, and a parent can follow their child's ordinary reports too.
- Payments: what your sessions or plan cost, what is due and what you have paid, how you paid (Zelle, Cash App, Venmo, cash or another way), each receipt number, and whether a sibling or military discount applies (Coach marks military only after seeing an ID, and the app keeps only the yes or no). The money itself moves outside the app, through your own bank or payment app: the app never sees or stores a card or bank number. Coach may keep a picture of a payment with the business's own records, which no family sees.
- Which version of the app you have: once a day, the app notes which update it is running and the day it was last opened, for whoever is signed in. This record holds nothing about the phone itself. Coach sees it to tell whether an update has reached every family; no other family does. Athletes under 13 have no login, so nothing is noted about them. It is deleted after 90 days without an open, and with your family's purge.
- How fast the app runs and what gets used: the app keeps anonymous counts of its own, in our own database, of how long its screens take to open and respond, and how many times each screen and feature is opened in a day. Each count is grouped only by program, kind of account (parent, athlete or Coach) and day, with the browser family (for example Chrome or Safari), a rough screen-size, memory and connection-speed group, and the app version. It never carries a name, an account, a device identifier or the time of day, so nothing in it identifies your child or your family, and there is nothing in it to look up for one person. Coach sees only totals and averages. It is never sold, never shared, and never used for ads. Timings are deleted after 60 days and counts after 400 days. Athletes under 13 have no login, so nothing is counted from them.
- Problem reports and crash notes: when you tap Report a problem and then Send, the app sends Coach your note (if you write one), the screen you were on, the app version, whether you were online, the screen size and browser, whether the app is installed, and the labels of the last few buttons and tabs tapped (never anything typed). Nothing is sent until you tap Send. On its own, when a screen breaks or the app repairs itself (for example, clearing an old version), the app sends Coach a short note: the screen, the error's code word and technical details, and the app version. These notes are filed under whoever was signed in so Coach can follow up, only Coach sees them, and they are used only to fix the app. When an account is closed they stay with the person's name removed. A parent can ask Coach to delete any of them, or anything else we hold about their child, at any time.
- We deliberately do NOT collect: athlete gender/sex in the training app, precise location, contacts, a phone's model or any device identifier, or anything from your device beyond what you type, which version of the app it is running, and the rough browser and device groups named above.
- No biometrics and no recording: the app never scans a fingerprint or a face and never turns on the microphone (the site itself does not allow it). Photos and clips are kept as pictures and are never scanned for faces; a clip your family uploads keeps the sound it was filmed with.
3. WHO SEES WHAT
Your family's data is visible to your family and to Coach, never to other families, enforced with database row-level security and an automated 400+ test isolation suite that runs before every release. One exception keeps a child safe: a safety concern an athlete under 18 sends from the Suggestion Box goes to Coach only, never to a parent, and Coach follows it up outside the app. Squad-visible surfaces (the activity feed, leaderboards, published testimonials, monthly squad totals, opt-in public highlights) show limited information inside our team only, and you can switch each of these off per child under Data & Privacy. Nothing about your child is ever sold or shared with advertisers, and nothing is visible outside our team unless you choose it: a recruiting page you turn on (it has its own link, which stops working the moment you turn it off); a Hall of Fame plaque you approve (full name, best results, chosen clips and Coach's words, which Brevard NEXT members can see too, and which stays after the account closes until you withdraw it); or photos and clips Coach may use to promote the program if you granted the photo and video release. We run no ad networks and no third-party analytics.
4. WHERE IT LIVES (OUR PROCESSORS)
- Supabase (database, file storage, login), US region; media sits in a private bucket served by expiring signed links.
- Cloudflare Pages (serves the app itself; standard edge logs).
- Resend (sends email to parents and Coach only; the app never emails children).
Each processes data only on our instructions. No artificial-intelligence service ever receives your family's data. Backups at Supabase retain purged data briefly on their own schedule before rolling off.
5. HOW LONG WE KEEP IT (YOUR CHOICE)
Under Data & Privacy you choose, per athlete: keep data until you purge it, keep a rolling 12 months, or keep until the athlete turns 18 (thirty days before, you get a push and an inbox message, and one tap keeps the record instead). You can purge your athlete's collected training record at ANY time with the delete button there (triple-confirmed, immediate, logged), or ask Coach. The account itself stays, and so do the records a session needs (emergency contacts, medical notes, allergies, injuries), payment records and your signed consents, until the account is closed. When it is closed, only the business's own records stay: payments received (who paid, how much and when) for its taxes, any incident report Coach wrote, how your family first got in touch, a note that the account was closed, and a Hall of Fame plaque you approved (section 3). Requests are tracked with a visible status and a 48-hour escalation clock. In FIRST Fuel, raw daily food logs are automatically condensed into weekly summaries after 90 days and the daily entries are deleted.
6. HOW THE APP CONTACTS YOUR FAMILY
Parents get pushes and the Sunday email digest. Teens with their own login get training pushes (morning check-in nudge, evening workout reminder, session reminders, quiet-week encouragement), and parents can switch each of these off per teen under Data & Privacy. Two more reminders go to the whole family, the athlete and their parents alike: a reminder the morning of a session, and an alert when Coach adds a new plan. Parents can switch each of those off per athlete under Data & Privacy, and once it is off, nobody in the family gets it. Younger athletes are never contacted directly; their reminders go to you. Every reminder sent is logged and viewable. The app never sends text messages (SMS).
7. LEAVING THE APP
Some demo links open YouTube (we rewrite them to YouTube's reduced-tracking player), and Team HQ links our Discord (a 13+ platform run under Coach's parent-visible rule), Calendly, Facebook and Instagram. Those sites have their own rules and tracking. Links always show where they lead, and we never send your data to them.
8. NUTRITION CONTENT: OUR LANE
FIRST Fuel gives general fueling and wellness information for growing athletes, sourced from published guidance (USDA, AAP, NASEM, the Academy of Nutrition and Dietetics, ISSN). It is not medical care and not a licensed nutrition-counseling service, and it never provides restrictive or weight-loss plans for minors. If a doctor is treating your child and nutrition is part of that care, the app steps back and supports your care team's plan.
9. YOUR RIGHTS
Review everything we hold (it's all in the app), correct it, export it, restrict squad visibility, control teen notifications, refuse further collection, or delete it, without affecting your ability to train with us. Offline copies cached on your own device for no-signal fields are wiped at logout and expire on their own.
10. TWO PROGRAMS, ONE COMPANY
Youth FIRST Athletics, LLC runs two programs in the same app. Youth FIRST Athletics, the one this notice covers, is for athletes 4 to 17 and their parents, and follows COPPA for athletes under 13. Brevard NEXT is a separate program for adults 18 and older, with its own privacy policy and its own forms, and its signup refuses anyone under 18. The same database row-level security that keeps families apart keeps the two programs apart: until an athlete moves up (below), their information is not visible in Brevard NEXT (except a Hall of Fame plaque you approve, section 3), is not combined with adult members' data, and is not used for the adult program. A parent who also trains with Brevard NEXT holds a second, separate account. Moving up is the one way an account crosses over: a parent may schedule it at any time, or the athlete once they are 18, and it never takes effect before the 18th birthday. The account then moves with its history, and a scheduled move pauses a scheduled deletion. Brevard NEXT shows labeled local sponsors; this program never shows ads of any kind.
11. FLORIDA LAW
- Florida's Parents' Bill of Rights (Fla. Stat. section 1014.04): we recognize a parent's right to direct their child's upbringing and to see and control their child's records with us. A parent creates or approves every athlete's account, accepts this notice for the family, and holds the controls under Data & Privacy.
- Florida's Deceptive and Unfair Trade Practices Act (Fla. Stat. section 501.201 and following) requires that what we say here be true. Every statement in this notice describes what the app does, and when the app changes what it collects, shows, shares or keeps, this notice gets a new version for you to review.
- Florida's Digital Bill of Rights (Fla. Stat. section 501.701 and following): its main duties apply to very large businesses and likely not to a company our size. We follow it for children's data anyway: no targeted advertising, no sale of data, and no profiling of your child beyond what their own training needs.
12. CHANGES
When an update changes anything in this notice, we publish a new version with a summary of what changed, and every parent must review and accept it at their next login before continuing.
